We're looking for an Operations Executive to join Camino – a fast-moving, digital-first medcomms agency with big ambitions and a team culture we're genuinely proud of. This is a varied, hands-on role at the heart of how Camino runs day to day, sitting within our ops and finance function and working closely with our Senior Operations Manager and Finance Director.

Day-to-day office management, including ordering equipment and managing meeting rooms
Venue sourcing and liaison for wider team/client meetings
Booking travel and accommodation for Camino team members
Organising and coordinating team socials
Managing team birthdays and gifts
New starter onboarding logistics and support
Maintenance of freelance booking tracker, in partnership with functional leads
Liaison with freelancers, ensuring efficient communication around jobs and cultivating positive relationships
Checking and approving freelance hours and invoices
Liaison with accountants and team to ensure accurate and efficient bookkeeping
Liaison with suppliers and clients to ensure smooth payment of invoices
Tracking and prompting team timesheet completion
Supporting the Finance Director with ad hoc tasks
Monitoring and triaging queries from the Camino website
Supporting with Microsoft 365 and SharePoint administration
Helping set up and manage documents for signature
Supporting the Senior Operations Manager and Exec team with ad hoc tasks
Experience with a variety of tasks ranging across team organisation, project management, internal communications, etc.
Comfortable handling confidential information with appropriate discretion
Experience working in a professional role within a communications agency or similar environment not essential, but advantageous
Working knowledge of the pharmaceutical/medical communications industry not essential, but advantageous
No formal requirements for academic qualifications
Exceptional communication skills, both written and verbal, with confidence building relationships in both face-to-face and virtual environments
A natural team player who enjoys collaborating and bringing out the best in everyone around them, helping the team to enjoy the process and celebrate success
Attention to detail to ensure high level of accuracy across tasks
A growth mindset that seeks to solve problems and sees challenges and curve balls as an opportunity to learn and innovate

Digitally savvy including familiarity with standard business platforms and aptitude to adopt new technologies and systems
